Privacy Policy

We uphold discretion at all times.

SpareRoom recognises the importance of privacy for all our website users and we are committed to protect any personal information we receive and hold. Most of our website can be viewed without the need to give us any information which personally identifies you. However, sometimes, we will need additional information about you to be able to provide you with details of the services you would like to receive from us.

1. How we collect information.

There are two different ways we collect and process information: Personally identifiable information: this is the information that you voluntarily provide to us through our website (for instance your name, email address, phone number and other contact information). We use these details for the purpose of responding to your request for further information about our services. Cookies: a cookie is created when you use your browser to visit a website that uses cookies to keep track of your movements within the site. It is a text-only string of information that a website transfers to the cookie file of the browser on the hard disk of a user’s computer so that the website can remember that user. Without cookies, websites and their servers have no memory. This means that every time a user opens a new webpage on a website, the server where that webpage is stored will treat the user as new and may require logon details and a password. In short, a cookie facilitates a users easy passage through a website.

2. Why do we collect your information?

If you want to know more about our services, it’s important that we can get back to you as soon as possible with all the fantastic things we can do! Without your personal information we wouldn’t be able to do this.

3. Where we store your information and how we protect this.

We have obligations to take reasonable steps to protect your personal information from misuse, interference, loss and from unauthorised access, modification and disclosure. Therefore, when you provide personal information, we store this in a secure database. The information will then be used to respond to your request for services/further information and may be used to provide you with additional information about services which we believe may be of interest. Your personal details will be retained for the time period necessary for the purposes for which they have been collected. They may be shared by SpareRoom employees / subcontractors to the extent necessary to maintain our systems and/or fulfil your request. There are confidentiality obligations on all our employees/subcontractors who have access to this information.

4. Can you access your personal information?

Yes. We will aim to deal with all requests for access as soon as we can and if you so request, we will amend any personal information about you held by us which you believe is inaccurate, incomplete or out of date. If we disagree about the accuracy, completeness or currency of a record of your personal information held by us, we will take reasonable steps to document a statement to that effect on the relevant record.

5. Changes to our Privacy Policy.

It may be necessary for us to change this Policy over time. We will update any changes by posting an amended version of our Privacy Policy on our website.

6. Who to contact.

For any enquiries or concerns with information held by us, we will take these issues seriously and will work to address them. If you would like to access personal information that we hold about you, or have a complaint, question or feedback, please contact us initially at guestservices@spareroomcollective.com. We will respond to you within a reasonable time, usually 14 days, to let you know that we are aware of your query. We will try to resolve the issue within 30 days.
